New Travel Reimbursement Policy

The New York State Society of CPAs’ Board of Directors in September approved a new travel reimbursement policy, with certain limitations set by the Executive Committee. The policy includes the following stipulations:

  • Reimbursement Requests. Committee and board members must submit written requests for travel reimbursement, with original receipts (except under unusual circumstances) for each expenditure that exceeds $25.
  • Air Travel. Charges for air transportation must be supported by the passenger coupon portion of the ticket, or passenger receipt and itinerary when the passenger coupon is not available. Costs will be reimbursed for travel that exceeds 140 miles one way, at lowest available coach-rate.
  • Ground Travel. Ground transportation costs, such as coach rail, bus, mileage at the IRS standard mileage rate, parking and tolls, will be reimbursed for travel that exceeds 150 miles round trip. Car rental costs will not be reimbursed to the extent they exceed the federal mileage rate.
  • Lodging. Costs will be reimbursed when travel exceeds 140 miles one way, when supported by an itemized bill and evidence of payment. Lodging is fully reimbursable at Society-approved facilities, and up to $200 excluding tax everywhere else. There are special allowances for two-day visits when travel is less than 140 miles.
  • Meals and Incidentals. Costs will be reimbursed up to a per-diem amount set by the Executive Committee annually ($51 for 2003-2004) for travel that exceeds 140 miles one way.
  • Limitations. Reimbursement is limited to out-of-pocket costs only for expenses related to Society business.

Requests for reimbursement, along with original receipts, tickets and other supporting documentation where necessary, should be sent to the Society.
